Young person image consent policy

Policy statement

The Jon Egging Trust (‘JET’) has a legitimate interest in taking images of young people on our programmes as part of the assessment and documentation process. These images may be used in the public domain and will form part of a young person’s individual work record (portfolio) to be presented to them at the end of the programme. JET may use images for 10 years after the young person has left the programme.

 JET understands that due to individual circumstances, it may not be appropriate to use images of some young people in the public domain. Therefore, to be able to use images externally e.g. on our website, social media, in press releases etc. consent must be obtained from the young person’s parent/legal guardian by ticking the opt-in box for ‘JET Image Consent’ on the Image Consent section of the Enrolment form at the start of the Blue Skies Programme.

Why does JET need images?

Images are required for use in the young person’s individual work record (portfolio) as a record of activities they have undertaken.

 JET relies on donations to fund our work, from the general public, grant awarding bodies and from our partner organisations. We need to take new photographs and video film to help promote our work in the public domain. We use images in a range of materials. This includes (but is not limited to) our website and social media, advertisements and other publicity materials such as leaflets, brochures and posters, newsletter, newspapers, magazine articles, television programmes and publications for the Internet.

 All images are consented for generic text. Generic text refers to JET’s work without detail. For example, ‘JET supports young people to achieve their full potential.’ We will never use the full name (first and last name) of a child in the accompanying text or photo caption. We may use their first name, a false name, or no name at all.

How long does consent last at JET?

Consent continues with no time limit, unless consent is withdrawn. However, the majority of images are used for up to ten years. They are then moved into the image archive for historical reference. Image consent can be withdrawn at any time by notifying JET in writing:

 When consent is withdrawn, images of that child are deleted from the digital image library, archive and website and, as much as is reasonably possible, from social media. However, we cannot withdraw images already published in hard copy but we will not make any reprints of that publication/material containing images for which consent has been withdrawn.

Who keeps the consent forms and images within JET?

Members of the Youth Programmes Team (Youth Programmes Officers, Regional Managers, Area Directors) are responsible for storing the consent forms and portfolio images for young people on programmes in their particular area. JET’s Income Generation and Communications Team are responsible for storing images for organisational use.

Partners, funders, schools (third parties) use of images

Our funders, partners and the young person’s school (third parties) can also request the use of images to promote their involvement with JET. Use can include (but is not limited to) their website and social media, advertisements and other publicity materials such as leaflets, brochures and posters, newsletter, newspapers, magazine articles, television programmes and publications for the Internet.

 Consent

For partners and funders to be able to use images for their own purposes, consent must be obtained from the young person’s parent/legal guardian, collected by JET by ticking the opt-in box for ‘Partner Image Consent’ on the Image Consent section of the Enrolment form on ImpactEd at the start of the Blue Skies Programme.  Should the young person’s parent/legal guardian withdraw consent for the use of images by a particular partner or funder, JET will put the parent/legal guardian in touch with the partner or funder to liaise directly to request images of their young person to be deleted or to restrict processing.

 For the young person’s school to use images for their own purposes, the school will have already obtained separate consent from the young person’s parent/legal guardian to use images. To remove this consent, the young person’s parent/legal guardian must contact the school to request that images be deleted or to restrict processing.

 Image ownership

Any images taken by third parties will be owned and controlled by that third party, not by JET. Any image taken by JET will be owned and controlled by JET.

 Cleared use of images by third parties

For images taken by third parties, that third party must first obtain written consent from JET that they are cleared for use. Images of students on JET sessions will NEVER be shared by our third parties internally, or on external media platforms, until this written clearance is in place.

 Cleared images can be used in internal and external third party communications pertaining directly to that JET session and securely stored by a third party for the time stated on their organisations Privacy Policy. After this time, the images must be deleted. Un-cleared images, or any that have been flagged by the JET team as containing imagery of student/s for which parental image consent is not in place must be deleted from all devices immediately.

 Images taken by Freelance staff or out-of-region JET staff

Where a JET session is delivered by a freelance staff member, or by a JET staff member from a region other than that in which the session takes place, that individual will not have prior knowledge of the students present and cannot independently verify which students have image consent on file.

 Any image taken in these circumstances may only be used — whether internally by JET or externally — once JET has obtained written confirmation from the school that each identifiable student in the image is covered by existing consent held by the school or JET that authorises the intended use. The school is confirming identity and existing consent; it is not granting new consent on behalf of students.

 This written confirmation must identify the relevant images by filename or reference and confirm the scope of consent held (for example, internal use, external publication, or social media). Until confirmation is received, the image must be treated as if no consent exists and must not be used or shared.

 The JET staff member coordinating the session is responsible for initiating this process promptly. Where confirmation cannot be obtained within 30 days, the images must be securely deleted and that deletion logged.

 Any third party present during a session must obtain prior written authorisation from JET before capturing images, and a further written authorisation from JET — plus school confirmation routed through JET — before using any image. Third parties must not approach schools directly. Breach of these requirements may result in withdrawal of access and referral to the ICO where data protection or safeguarding legislation is engaged.

 Use of Artificial Intelligence and Digital Manipulation

The use of artificial intelligence tools, generative AI, or digital editing software to alter, manipulate, generate, or synthetically recreate any image of a student is strictly prohibited. This applies to JET, all JET staff, freelance contractors, and third parties, and covers all images taken in connection with JET activities regardless of whether consent has otherwise been granted.

 Prohibited processing includes altering facial features, skin tone, expressions or body shape; applying AI-powered filters or style effects; generating synthetic or composite representations incorporating a student’s likeness; and the use of deepfake or face-swap technology in any form. Images of students must remain a true and accurate representation of the individual as originally captured.

 Where a student has not provided image consent, JET may manually obscure or blur identifying features using standard non-AI editing tools, or crop or reposition the image to exclude the student. Automated AI-driven blurring tools that use facial recognition or neural processing are not permitted even for anonymisation purposes. Where anonymisation cannot be achieved without AI processing, the image must not be used.

 Images that cannot be used due to absent or insufficient consent, or because anonymisation is not possible without prohibited processing, must be securely deleted within 30 days of the session unless required for an ongoing safeguarding matter. Deletion must be logged.

 Worldwide reach

Please note that the websites can be viewed worldwide, and not just in the United Kingdom, where UK law applies. JET is not able to control how images are used or shared once they are released via our website and social media into the public domain.
